CURIO TRIPS BOOKING CONDITIONS

 

We are Curio Trips and we look forward to designing your tailor-made trip. These terms and conditions (the "agreement") describe what you are legally entitled to expect when you purchase travel related services through us, in addition to your obligations as client. The terms "Curio Trips”, “we", "us" and "our" refer to Curio Trips. The term "you" refers to the client making a booking or using our services. The terms “suppliers” and “third-party suppliers” refers to our suppliers on the ground. The term “partners” refers to those we build group trip itineraries with.


Products & Suppliers

We sell a variety of travel related products from different suppliers and service providers. Each supplier has its own terms and conditions that are applicable to your particular arrangements in addition to our general terms and conditions, and you should make sure you understand them. Curio Trips is acting as intermediary or "designer" for products and services that are not directly supplied by us (e.g. flights, accommodations, ground transportation, meals, tours, guides etc.). We are not a co-vendor of such products and services. You will be entering into a separate contract with such suppliers in connection with such products and services. On occasion we partner with other businesses to create group trips. Our partners are all selected because they are the best. The level of quality and professionalism they offer matches our own, making for great partnerships.


Booking Contract

A booking is confirmed and these booking conditions apply once your design fee has been paid and your booking form received. The date of your trip design invoice is the booking date. All trip pricing is subject to availability at the time we start booking your trip, and invoices must be paid within 24hrs of receipt to avoid a recalculation of trip costs. The lead traveller (you) making the booking must have all requisite consents from any other travellers included in the booking. It is your responsibility to ensure the information you provide regarding all clients is complete and accurate.


Design Fee & TRIP Payments

We have created a payment structure that allows you to spread the cost of your booking, and allows us to pay suppliers. In some cases the payment structure may change, but your typical payments will be:

  • First trip instalment: 30% of total trip cost

  • Second trip instalment: 30% of total trip cost due 6 - 9 months prior to departure

  • Final trip instalment: final balance due 90 days prior to departure

We will advise you in writing if any of the above payment requirements differ for your booking. That payment structure will take precedent over the one in this contract. No travel documents can be issued until payment is received in full.

If your booking is last minute – 45 days prior to departure – your payments will be non-refundable and 100% will be required at the time of booking.


Processing Payments

Your invoice payments can be made via Interac E-Transfer (Canada), Visa, MasterCard, PayPal, Wire Transfer and Cheques. Fees may be applied automatically to credit card payments. This fee covers a range of costs associated with processing bookings paid for by credit card including merchant fees.

By providing your credit card details and accepting these booking conditions, you authorise us to arrange for funds to be debited from your designated credit card in accordance with your trip itinerary and booking requirements.


Currency

All rates are quoted in USD, unless otherwise indicated. Please ensure you calculate the costs in your own currency, as we will not be liable for any unforeseen charges. If we have provided a currency exchange rate, that is taken from a live system and valid at the time it is presented only.  


Cancellations By You (the client)

If you cancel your booking you may be entitled to a full or partial refund. All supplier’s terms and conditions vary and will be outlined on your trip invoice(s). In order to cancel your booking we must receive your notification of cancellation in writing.

Trip design fees are non-refundable, but in some instances can be transferred to a future trip in the event of cancellation.

No discount or refund will be issued to clients for missed or unused services that were missed or unused at no fault of Curio Trips or our partners. Generally, flight tickets are non-refundable.

We strongly urge all travellers to purchase travel insurance that includes trip cancellation as you may be able to make a claim through your insurer.


Changes By You (the client)

Where a change is requested by you to your travel arrangements, we will endeavour to make changes where permitted and possible.

In addition to supplier charges, the following design fee charges will apply:

  • Changes to transport and activities once itinerary is confirmed: $25 USD

  • Changes to accommodations once itinerary is confirmed: $50 USD

  • Changes to itinerary once itinerary is confirmed: from $100 USD

All reservation changes are subject to availability and the terms and conditions of the supplier from which the product was purchased.

Flight name changes are treated by most airlines as a cancellation to which standard terms and conditions apply. We must receive a copy of your passport at the time of booking to ensure flights are booked in the correct name. If an error occurs, we will endeavour to make changes. If we do not have a copy of your passport on file, liability and costs incurred will fall to you, the client.


Cancellations & Changes By Suppliers

As your booking agent, we will endeavour to notify you promptly of any significant changes to your itinerary as soon as we become aware. In most cases you will have the option to accept alternative arrangements or cancelling and receiving any applicable refund.

Airline schedule changes happen. If we are alerted of any significant change by your airline we will ensure we let you know as soon as we become aware. Please ensure we have the most up-to-date contact information for you before you depart for your trip. Please note that for some airlines it is mandatory you confirm with them your intention to fly.

We do not accept liability where changes are made due to circumstances outside our reasonable control, including, but not limited to, strikes fire, floods, snow, fog, ice, severe weather, acts of God, acts of Government, war, civil unrest, accidents to or failure of machinery.


Passport, Visa & Immigration Requirements

At the time of booking with us, we will inform you of the passport, visa and immigration requirements for your destination(s). It is your responsibility to fulfil the requirements applicable to your booking. We do not accept responsibility in the event you are unable to travel due to non-compliance with any such requirements.

Some countries require you to have 90 days on your passport from the date of entry to their country. In some cases it is six months. Please ensure you check the passport validity details for your destination(s) and update your passport if necessary.

Most countries will allow you to purchase your visa upon entry, and accept cash in a few currencies only. Some countries require you to purchase your visa prior to boarding the plane in the country of origin for your trip. Some countries require your passport to have two blank pages for a visa stamp, please be sure of the passport requirements prior to travel as you are responsible for fulfilling the visa requirements applicable to your itinerary.

Customs charges collected by governments for the import of goods are the sole responsibility of you the client. Please ensure you fill custom declaration forms accurately and completely.


Travel Insurance

We strongly urge all travellers to purchase travel insurance prior to departure to cover the duration of your trip (including travel days). For some travel arrangements, travel insurance is mandatory so please ensure you know the requirements for your trip. We require you to let us know on your booking form that you are purchasing your own trip coverage and you understand your trip does not include travel insurance. 

Our recommendations for where to buy travel insurance are: 

  1. Your employer/current health benefits as they may have a travel insurance add-on
  2. Your bank (or another bank as you do not have to necessarily bank with a supplier for them to sell you insurance)
  3. Your current home or car insurance provider as they may also offer travel insurance

A few recommendations when inputting your details and buying your insurance:

  • Trip cancellation and trip interruption cover your trip if you have to cancel prior to departure or part-way through. This is often the most expensive part of your insurance as the cost is around 10% of your total trip cost. 
  • Medical coverage is incredibly important should you need medical care while away. A doctor or hospital may require proof that you have coverage so they know their medical bill will be paid.
  • Pre-existing conditions must be disclosed when purchasing travel insurance otherwise you may be refused medical treatment when you need it. Ensure you understand any limitations or restrictions in your travel insurance regarding this. 
  • Medical coverage for the duration of your stay should you need to be treated in-country is vital, as well as medical evacuation for when you are ready to return home. Some providers allow you to add coverage for a spouse or family member to stay with you if you are hospitalised. 
  • Read through your policy once you receive it so you fully understand how it works and what to do in the case of an emergency.
  • Send a copy of your travel insurance details to at least one family member or friend at home and carry copies of your insurance information - provider, policy number, 24/7 phone number etc. on you while travelling.

Please make your travel insurance provider your first port of call in the case of an emergency. They will let you know how to proceed and what is covered in your policy. 


Vaccinations & Health

At the time of booking with us, we will inform you of the vaccination and health requirements for your destination(s). We also advise you to contact a travel doctor for further information regarding your trip. It is your responsibility to fulfil the ensure you have arranged all the necessary vaccinations and medicines required for your itinerary.

It is your responsibility to carry all required medicines with you during your trip, including in carry-on-luggage during your flight. Please ensure liquids fall within the airline/airport allowances and are clearly labelled with a letter from your doctor.

You are responsible for informing us of any existing medical conditions or disabilities which may require assistance during your trip. We are not in any circumstances liable if any carrier refuses you as a result of any conditions.

Women 32 weeks or more into pregnancy at the time of return travel must have a letter from their doctor confirming they are fit to fly. We are not liable for any costs, delays or illness resulting from a failure to meet these requirements.

Where a special request or dietary requirement has been flagged, we will ensure we pass that information onto the supplier who will endeavour to make arrangements accordingly on the ground. If for any reason, these are not adhered to, please let your hotel, lodge or cabin, guide or local representative know. We will endeavour to accommodate these special requests, but such requests do not form part of these booking conditions or the contract between you and us. We are not liable for any failure to accommodate or fulfil such requests.


Documentation

Our general practice is to send documents to our customers electronically whenever possible. We reserve the right to charge an administration fee should you make a request for such documents to be sent as a hard copy.

Please ensure you travel with your documents and make back-ups for your emergency contact(s). We strongly urge you to travel with photocopies of important documents such as passports, drivers license, visas and your travel insurance policy number and 24/7 phone number. 


Flights

Ticket pricing is provided to you from a live system and can vary until the time of booking. Flights are only considered confirmed once a confirmation has been received. Please be aware that pricing is only subject to availability at the time of booking, and any previous quotes for flights no longer apply.

Flight ticket changes generally incur a service fee to make the change, as well as fare difference charge. This means any difference in the fare from the time you booked to the new travel dates, and the service fee, will be charged to you the client.

Flights must be taken in the sequence they are booked and appear on your ticket or e-confirmation. If you do not check in on time for a confirmed reservation the airline may register you as a ‘no show’ which could result in charges or your flight itinerary being cancelled. We do not take responsibility for any missed flights and will not refund missed or unused tickets.

For Secret Trips we will check you in for your outbound flight only. It is your responsibility to check-in for your return flight using the information provided in your trip documents.

If a flight is oversold or you arrive at check-in and the airline shows no reservation for you, but your ticket is showing “OK” for the flight in question, you may be entitled to a substitute flight or compensation. Airline policies typically require them to accommodate you on that flight so speak to a supervisor to find out what you are entitled to.

Most airlines and airports allow you to travel with small quantities (100 ml) of liquid in your carry-on-luggage, which will be checked at airport security. Some airlines and airports uphold different restrictions so please be sure to adhere to those to avoid confiscation and disposal of your items. If in doubt, place the items in your checked-luggage prior to check-in.

Curio Trips are not responsible for any extra luggage charges incurred before, during or after your trip. Please ensure you have checked with the airline prior to departure regarding their luggage policies.

We provide a choice of scheduled and “no frills” carriers so you can take advantage of the flexibility and pricing available. On “no frills” flights, meals and drinks are not included, but can be purchased on board. Most airlines do not accept cash transactions during flights so please be aware you will need to use your credit card.

If you miss a flight and the reason for your missed or cancelled flight is covered under the terms of your travel insurance policy, you may be able to claim your cancellation or charges through them.


Accommodation

Please ensure you are aware of the check in and out times of your accommodation. We accept no responsibility for charges incurred if you overstay. We will happily arrange early arrivals or late departures for you and let you know of additional charges.

Included in your trip is the room rate only, which on occasion includes breakfast and complimentary wi-fi. Curio Trips are in no way responsible for any incidentals incurred during your stay including but not limited to mini-bar, room service, use of room phone, meals etc. 

Rooming from hotel to hotel varies considerably, but it is assumed that a double room has one double/queen/king size bed. Twin rooms have two beds of either single/double/queen/king size. It is crucial that you tell us at the time of booking, which rooming configuration you are in need of.


RENTAL CARS

If you are driving on your trip it is your responsibility as the client to ensure you purchase an International Driver's Permit (IDP) prior to departure. Most rental car agencies will not give you the car you have booked and paid for if you do not present your IDP upon arrival. We take no responsibility for charges incurred for missed or unused services.

At the time of pick-up you are responsible for purchasing and signing insurance agreements for your rental car. It is your responsibility to know your coverage while away. Most people are now covered by their home car insurance or credit card when driving a car overseas, but this is not always a given.  Know your CDW, TP etc. coverage before you leave home.

If travelling with young children who require car or booster seats, it is your responsibility to travel with the items required by law in your destination. Many rental car companies no longer provide car and booster seats for liability reasons, but most airlines allow you to check these items for free. 

Curio Trips accepts no responsibility for your failure to ensure you are insured. 


Inclusions & Exclusions

We will clearly note down the inclusions and exclusions for your trip. Please ensure you are familiar with these prior to departure. Some of our trips include meals, beverages, park fees etc. others do not. None of our trips include items of a personal nature, telephone calls (cellular or hotel), shopping or entrance fees outside your itinerary and internet or data charges.

We will inform you of any fees to be paid locally.


Free nights

On occasion we offer free nights as part of a promotion. If a free night applies to your trip, Curio Trips reserves the right to choose the night that the promotion applies to, which is usually the cheapest.


Emergencies

If you experience difficulties while on your trip, please make your hotel, lodge or camp, guide or driver, your first port of call. If for any reason they cannot help, please contact the local emergency number provided in your travel documents. If they cannot be reached, and it is not a matter for your travel insurance provider, please contact us on our 24-hour emergency number (+1) 718 717 8065. Most travel insurance providers require you to inform them within 24 hours of any medical emergency. We will be unable to assist you in travel insurance matters, or any issues that are brought to our attention on your return from your trip.

Please remember that everywhere is different, and the people you encounter on your trip may be less time-conscious or meticulous than you may like. They may also try tell you that there are extra charges to be paid, or that you must pay a late-fee if your flight is delayed. Please find the most amicable way to deal with the situation, and really ask yourself if it is an emergency that warrants a 3am phone call.


           Acceptance of Risk             

You, the client, acknowledge that the nature of the travel product, in some circumstances, is adventurous and may involve a significant level of risk to your health/safety. There are dangers inherent to travel generally and you the client have considered such risks and are willing to assume them by confirming the booking of your trip.

We strongly urge all travellers to purchase travel insurance prior to departure so they are covered while away from home.  

For Secret Trips we make every effort to work with you and your trusted person to ensure your trip is to a new and exciting destination you have not visited before. We do not accept liability if you have previously travelled to the destination we send you to or you simply do not want to go. No refund will be issued for any aspect of your trip including but not limited to trip design fee, flights, hotels etc. 
 

Complaints

If you have a complaint about us before, during or after your trip please inform us in writing. If you have a complaint with a supplier while you are away, please contact your local representative to see if they can resolve the issue. If they cannot, please contact us in writing. We will be happy to investigate and resolve the issue, but we can only do so if the matter is brought to our attention at the time of the issue.

We encourage feedback after your trip, not only on the itinerary design, but also your experience on the ground. We endeavour to work with only the best so if someone has fallen below your standards, please let us know.


Use of Our Services & Website

We have taken due care and responsibility to verify and check all information on our website at the time of compilation. Content is however subject to change at any time and without prior notice.

We reserve the right to withdraw our trip design services to you at any time before your trip is confirmed and booked through payment of your first trip invoice. Notice of such a decision will be provided in writing by your trip designer. Our trip designers verify and check all information in our itineraries is correct at the time of compilation.

The client agrees that while participating in a Curio Trips trip, images, photos or videos may be taken of them by other travellers, Curio Trips, instructors or our partners. The client grants permission to Curio Trips and its partners to use such images, photos or videos royalty-free, worldwide. The client understands that no compensation will be payable in such circumstances.

We do not accept any liability for the acts, omissions or defaults, whether negligent or otherwise, of suppliers in connection with your itinerary. We do not accept liability for death, injury, damage, loss, delay, inconvenience or additional expenses caused directly or indirectly by force majeure or other events beyond our control. This includes, but is not limited to, strikes fire, floods, snow, fog, ice, severe weather, acts of God, acts of Government, war, civil unrest, accidents to or failure of machinery.


Privacy Policy

We must collect personal information from you in order to design, create and execute the itinerary service you are paying for. We take every due diligence to safeguard your personal information and protect your privacy. We only share your personal information with third-party suppliers and our partners when required to do so in relation to your booking.
